If you reside in a place such as we do in Western New York (we are in Rochester!) With superbly hot summers and cold snowy winters, you will know your choices for your child's birthday party are largely determined by the weather.
As an August baby, we always had small family parties outside at my house. But, with sons born in November and March, we're constantly left to book an indoor place for their parties, if we chose to have them that year. While those with children with summer birthdays might appear blessed to have numerous options at their disposal, it can also often feel overwhelming.
While at Climbing Vines Cafe and Play we may be biased since we sponsor indoor celebrations, I wished to share with all the 5 most common reasons we hear from previous celebration clients to book indoor summer evenings with us. To them, the stress-free temperament of the indoor summer party is a no-brainer, plus they are not looking back! Following their first indoor summer celebration they continue hosting with us year after year.


The most common cause for a customer to reserve a summer indoor party with us is so they don't have to stalk the weather forecast for upgrades in the weeks leading up to the party. And if you've ever needed to cancel or postpone your child's birthday because of weather, then you know how heartbreaking that could be.
We receive dozens of calls every summer a couple of days before someone's outdoor party is supposed to take place to find out if we've got an open slot for them within our indoor party place because of weather woes. We can normally pull off this if the place is open, but hosts will sadly have to scramble and let all of their guests know of the change in place and probably shift in time, and also change all of their catering requests to accommodate their new party plan.
While of course rain is most likely the largest obstacle you might face, extreme heat, unseasonably cool weather, and end can also pose problems for your food, decorations, along with your guests' possessions. You'll likely end up investing in a kayak or some other weather barrier just to ease your mind somewhat, which can be costly and take a great deal of precious time to prepare and take down. I will not even tell the story of the time my Dad set up a tent for a party in a windstorm and ended up with an insurance coverage for 4 damaged cars when it blew away (weights and anchors and all!) ...

Aside from the obvious weather concerns it's possible to avoid with an indoor party, there can also just be something really simple and lovely about an indoor summer celebration. Guests won't need to worry about bringing towels and sunscreen and towels and swimsuits and changes of clothing and bug spray... you understand.
Sometimes it's nice to have a brief break from the outdoors, sip coffee in an air-conditioned cafe, and have a real conversation with other adults while the kids play, rather than chasing kids around trying to get their fur on them keeping them away from the in-ground pool. I'm not sure about you, but I can never really relax at an outdoor summer birthday celebration with a two and a 4 year-old. While they sure do have a fantastic time running around, we usually leave at a daze or with a tantrum, unsure whether we had time to chat or check in with everyone.
While I absolutely adore a good barbecue or summer grilling extravaganza, I find it so refreshing when we could take a break in the same-old backyard bash and spend a few hours in a relaxing, cool, and most significantly -- included! -- atmosphere.
It is also freeing as a guest to have the remainder of the day to do as we want as a family, not need to be concerned about getting the children into a bath immediately after the celebration or quitting home to cool off and change clothing.
I promise that if you book an indoor celebration for your child, guests (particularly family) might appear a little confused at first (why not just take advantage of the summer weather while we could, right?) But after hosting hundreds of indoor parties I can tell you for sure that on the day-of, you and your guests will realize how pleasant it can be to kick back in an air-conditioned private celebration for a couple hours.

Speaking of how relaxing an indoor, air-conditioned celebration can be, how can we discuss food for a second?
Therefore, for our loved ones, the food factor alone could be enough to warrant an indoor celebration.
Eating in peace without having to find shade or a seat or a location away from pests is just one of those things that you don't realize can be so magnificent until you attend your fourth or fourth outside summer gathering and THEN get a break from them. Among the most common things we hear is how fine it is to sit and eat and watch the kiddos play without having any venue-related cares or concerns. This will be especially important if you're going to be needing elderly family members attend that can battle with being portable in the sand or marijuana and finding seating at outdoor parties.
Plus, when was the last time you attended an outdoor summer celebration with a full espresso bar and cafe available for visitors to enjoy now they don't need to worry about running around chasing their children in the warmth? Do not worry, we have you covered there, literally!

While celebration aesthetic may not be a deciding factor for every family, it sure is much easier to create a themed extravaganza which lights a child's face up as soon as the party's inside. The decorations required are often less because the area is smaller and included contained, and you won't need to be concerned about balloons and streamers blowing all about or procuring table covers .
Because we do host mobile events outdoors at Climbing Vines Cafe and Play, I can also speak from experience when I say the time that it takes to set up (and take down!) Decorations for an outdoor celebration compared to an indoor celebration usually ends up being at least double. Finding great places to hang banner, requiring two people to maintain and protect everything, and locating weights or other restraints for everything may be a true hassle on celebration.
And you will have enough to worry about that day, right?
Also, if your own pinterest boards are full of adorable figurines, a candy bar, or anything which could possibly be impacted by wind (or bring bees!) You will probably have to restrategize to get an outdoor soiree.
Not to mention decor typically can only get used once if used outdoors, but repurposed again and again if used for an indoor event. Our guests that sponsor indoor occasions, notably those who invested significant money into decor or labored hard to make their very own, are very happy to find they can usually create a large chunk of the cash back by reselling their supplies something like
Speaking of cash, probably the greatest misconception I hear from clients is they wish to sponsor a party in their house to save themselves the leasing fee of an indoor area. I generally laugh at this because it makes perfect sense, that is, if you have never hosted an outdoor party.
With all the"extras" like tents, seat rentals, additional decorations, weather reinforcements, cleanup supplies, games and activities for the children (that you won't have to provide at a play place!) , pool toys, etc.... It's very likely that you are going to end up spending MUCH more hosting a party at your house or an outside venue than you would inside.
I am not sure how other indoor spaces manage their supplies, but we only charge guests for extra beverages and supplies and these on the afternoon of the celebration should they end up needing them, and we also allow parties to attract in their OWN food, dessert, and decoration if they choose!
Money aside, spending countless hours cleaning before, during, and after the party may also have a toll. Wouldn't it be nice to walk into a sparkling clean space and leave with your guests once the party's over, not having to be concerned about the cleanup, garbage removal, tent teardown, etc?
You can just go home and relax with your loved ones (yes, possibly outside!) In a nice clean home that wasn't just trampled by party guests and all of their mud, grass, and sunscreen.
Along with the time spent cleaning prior to and after the celebration, wouldn't it ALSO be wonderful to not have to play"host" during the event? For customers that bring in their own food and decor, our dedicated party assistants set everything up, refill and fix food and drinks as necessary, clear dishes, cut and serve the cake, and then pack up all of the leftovers at the end of the party!
In the end, it's your child's special day and you want to spend those valuable hours making memories and visiting along with your guests-- not running about chasing your decorations or refilling the fruit bowl countless times.
